About the role
The successful post-holder will provide administrative support for both grant and finance functions at Riverlane, ensuring that they run smoothly and efficiently. Reporting to the COO, the Grants Administrator will prepare R&D budgets, lead reporting for active grants, prepare claim submissions and oversee our annual R&D tax credit submission.
*This role could be completed on a full- or part-time (at least 0.6FTE) basis. We can flex the responsibilities accordingly.
What you will do
Grant administration (80%)
Oversee the entire grant portfolio at Riverlane
Set up and oversee submission of grant applications on funding portals
Prepare budgets for grant applications
Build excellent working relationships with internal teams and external stakeholders, including accountants and funding bodies
Lead reporting for active grants, requesting relevant information from staff, working ahead of deadlines and ensuring compliance with funder terms and conditions
Flag up issues and ensure appropriate action is taken where applicable
Support Riverlane staff to prepare for Steering Committee and Monitoring meetings
Maintain clear and comprehensive system for tracking hours spent on grants and core R&D activity at Riverlane
Prepare and submit finance claims and forecasts for active grants, ensuring accuracy of financial information
Monitor and chase income and ensure that actions needed to enable payment are performed in a timely manner
Collate and prepare information for audit purposes
Contribute to the review of processes and procedures and make proposals for adaptations and improvements as necessary
Finance administration (20%)
Process invoices
Process expenses
Keep Soldo cards topped up; monitor spend and receipts
Liaise with external suppliers to ensure receipt of goods and timely payments
What we need
Educated to at least A Level standard or equivalent standard/NVQ level 3 or equivalent level of practical experience
Previous experience of working in a grant administrative role
High level of accuracy and attention to detail
Excellent IT skills, including Word, Excel, Outlook and PowerPoint
Excellent communication skills, both verbal and written
Excellent organisational skills
Ability to prioritise a demanding and changing workload with strong time management skills
Confidence in working effectively on your own and as part of a team
Demonstrable knowledge of research administration
